Configuring Teams Settings

  • Before you can start calling we need to make sure your Teams app settings are correct. 
  • At the top right of your screen, click the 3 dots next to your profile picture and then click "Settings" 

Device Settings

  • On the left bar, select "Devices"
  • At the top, make sure your Speaker and Microphone are set to your headset or speakerphone
  • At the bottom, make sure your Secondary Ringer is set to your computer's speakers

 

Notification Settings

Notifications and Activity Settings

  • Mute all notifications (except for calls and meetings):

    • !Never set this to "on" instead, set your Teams status to "Do-Not-Disturb"!


Sound (Recommendations) 

  • ☑ Play sounds with notifications

    • !Recommended to always have this selected!

  • ☑ Play sounds with urgent and priority contact notifications

    • !Recommended to always have this selected!

  • ☑ Play sounds with incoming calls, requests to join, and meeting start notifications

    • !If you don't want to hear ringing on your PC deselect this box!

  • ☑ Play sounds when I'm busy or in a meeting

    • !If you don't want to hear ringing/message sounds while in a call or meeting, deselect this box!


Display (Recommendations)

  • ☑ Show message and content previews in notifications

    • !Recommended to always have this selected!

  • ☑ Show notifications during calls and meetings

    • !If you don't want to see visual notifications during calls and meetings, deselect this!

  • Position on the screen

    • Changes where the visual notifications pop up on your screen

 


Call Handling and Forwarding Settings

  • Forward all calls

    • Recommendation: Off

      • Toggling this on will set an immediate forward to whatever destination you select. Either voicemail, another user, or another number

      • !You will not receive calls if this is toggled on!

  • When you receive a call

    • Recommendation: Do not ring anyone else

      • This option allows your incoming calls to ring another person at the same time so they can pick it up instead of you

  • When you're in a call and receive another call

    • Recommendation: Let new calls ring me

      • This option will set the behavior of incoming calls while you are already in a call

        • Play a busy signal: Call is disconnected before it rings you

        • Let new calls ring me: You will still receive notifications for new calls while in a call

        • Redirect as if calls are unanswered: New calls will follow the "When you can't answer a call" rule

  • When you can't answer a call

    • Recommendation: Redirect to voicemail

      • This option sets the behavior of calls you are unable to answer

        • Do not redirect calls: Calls will just disconnect

          • !You will not receive voicemails if this is selected!

        • Redirect to a new number or contact: Calls will be forwarded to another number or user

  • Ring for this many seconds before redirecting

    • Recommendation: 20 seconds

      • This option decides how long calls will ring before invoking the above rules

Choose a Ringtone

  • Recommendation: Your choice! 

Voicemail Settings

  • Record a custom greeting

    • "Record a Greeting" Button: Clicking this starts a call with the automated voicemail service where you can record your voicemail greetings

  • Choose what happens when the call is redirected to voicemail

    • Recommendation: Let the caller record a message

      • There is multiple options for this setting, however in most cases the recommended option is what you want

  • Set up text-to-speech customized greeting option

    • This text box allows you to set a Text-to-speech voicemail greeting. Whatever text you put in the box will be played whenever calls to you are transferred to voicemail

    • If you have recorded a greeting it will override the Text-to-speech greeting

Manage Out-of-Office Voicemail

  • Settings for Out-of-Office voicemail which will play whenever you have calendar events set to put you out-of-office OR if you have Outlook automatic replies turned on
  • When should your greeting play?

    • Recommendation:
      • ☐ All the time

      • ☑ When Outlook automatic replies are on

    • Text-to-Speech out-of-office greeting

      • ​​​​​​​Just like with your normal voicemail you can enter text to be read by a text-to-speech bot whenever out-of-office

        • If you have a recorded "Away" greeting it will override the text to speech option
