Adding a Shared Mailbox to Outlook

New Outlook Desktop Client
  1. In the menu on the left right click on your email address, or click on the three dot sub menu.Uploaded Image (Thumbnail)
  2. Click on the Add shared folder or mailbox option.
  3. Type in the email of the shared mailbox and click the add button.Uploaded Image (Thumbnail)
  4. You should see your shared mailboxes in the folder named Shared with me. Usually listed at the bottom of all of your mailbox folders.Uploaded Image (Thumbnail)
Outlook on the Web

In the web client version of Outlook, you will not see your shared mailboxes. You will have to open them separately.

  1. In the upper right corner you should see your name, and your icon (either your initials in a colored circle or the picture you have for your account). Make sure this is your name for your email account and not the icon or name for your web browser account.

    Click on your name and you should get a dropdown menu.Uploaded Image (Thumbnail)
  2. Click on the link to Open another mailbox.
  3. Type in the name of the shared mailbox and click Open.Uploaded Image (Thumbnail)
  4. This will open a new tab of the shared mailbox in Outlook for the web.
Classic Outlook Desktop Client
  1. Click on File in the top menu.Uploaded Image (Thumbnail)
  2. On the page that opens up, click on the Account Settings button, then click the Account Settings… option.Uploaded Image (Thumbnail)
  3. In the pop-up window, make sure your email account is selected, then click the Change… button.Uploaded Image (Thumbnail)
  4. On the next pop-up window click on the More Settings button.Uploaded Image (Thumbnail)
  5. On the next pop-up window click on the Advanced tab, then click on the Add… button.Uploaded Image (Thumbnail)
  6. On the next pop-up window enter the email address of the shared mailbox and click OK. (It may take a moment for the window to close)Uploaded Image (Thumbnail)
  7. You should now see the shared mailbox listed in the previous window. Click OK on this window.Uploaded Image (Thumbnail)
  8. When that window closes. Close the previous window by clicking on the X button in the top right corner You do NOT need to click the Next button. (It may take some time for this window to close, depending on the size of the shared mailbox. It could be several minutes.)Uploaded Image (Thumbnail)
  9. You can now click Close on the last pop-up window, and you should see the shared mailbox listed in the menu on the left near the bottom of the list of folders.Uploaded Image (Thumbnail)
  10. You can click the > to expand the folders of the shared mailbox.
