Microsoft Bookings

Introduction

  • https://outlook.office.com/bookwithme/
  • Microsoft Bookings & Bookings with me allows users to create a personal “services” page of items with custom attributes.
  • Clients can then “Book” available services with the owner, based upon their needs.
  • Make sure when creating, editing, or duplicating services, to click save.

Microsoft Bookings Features

Type

Description

Public Service

Anyone who visits the booking page can view & book this service

Private Service

Only those with a booking link can view & book this service

Meeting Hours

Uses your hours of availability, or one can set custom hours for each service

Lead Time

Specify the minimum & maximum amount of lead time for scheduling a service.

Buffer Time

Specify how much time before, or after a Booking is required before another service can be “Booked”

Email Reminders

A custom email reminder can be configured to remind the client before an appointment.

Email Follow-up

A custom email follow-up can be sent after an appointment.

Configure your personal Bookings Page:

Booking Service Page

Step 1:

·        Navigate

·        Go to “https://outlook.office.com/bookings/”

·        Click “Go to my booking page.”

o   Or go to: https://outlook.office.com/bookwithme/

Step 1a:

·        Sign In

·        If requested, please sign in with your SFC ID (12345678@sfcollege.edu) and password.

Step 2:

·        Edit your personal Booking Page

·        Click the three dots next to the “Blue Share Button”

o   Edit the Banner

§  Click “Edit Banner Image”

§  Select the banner of your choice.

o   Turn on or off your booking page.

§  If unpublished, click “Publish” to make live”

Step 3:

·        Create a new Booking Service

·        Click the Plus sign under the Banner for Public or Private

o   Create a Title for this service.

o   Add a description for users so they can help understand what this booking will be about.

o   Location: Either enable a Teams virtual meeting or specify a location/address for an in-person meeting.

o   Time: Select the amount of time for this meeting.

Step 4:

Schedule Customization

·        Use my regular meeting hours:

o   Click “See regular meeting hours” to see what you currently list for your work week availability.

·        Use custom availability hours:

o   Option to specify a specific date range for a custom schedule.

o   Customize the hours and days for each day of the week.

Step 5:

Advanced Options

·        Buffer Time - Choose the amount of buffer time before and after meetings, as well as limit the start time to certain intervals.

·        Lead Time - Choose the minimum and maximum amount of lead time that is allowed to schedule a booking.

·        Email Reminders - Send reminder emails to the person booking time with you before the appointment.

·        Email Follow-up - Send automatic follow-up emails to collect feedback from the client that booked time with you or remind them to book their next appointment.

Manage an Existing Service

Step 6:

·        Manage an Existing Service

·           Click the three dots next to the service you wish to modify, and select an action:

o   Copy link – Copies a link to your clipboard to paste in an email, teams chat, etc.

o   Share – Allows you to email this service as a link.

o   Duplicate – Used to make a copy of an existing service.

o   Make Private – Converts a public booking into one that is hidden on your personal booking page.

o   Make Public – Converts a private booking into one that shows on your personal booking page.

o   Delete – Deletes the service from your booking page.
